Summary
The Whistic reporting suite has robust capabilities that allow you to access most any data set you need. You can use the intuitive interface or export to Excel.
This article provides an overview of general reporting capabilities, however, feel free to contact your account manager and they would be happy to guide you through building a report.
NOTE: Reporting combines both standard Whistic data fields and custom ones that you set up through Program Automation and the Custom Intake Form.
Let's dive in! We will review each section, as outlined below.
📊 Steps
A - Saved Reports
You only need to build your ideal report once! After you build and refine key reports, save them here. Once saved, simply select it from the dropdown for future use.
- To save a new report - once your reporting criteria is complete, select Save. A window will appear requesting you name the new report.
- To edit an existing report - select the saved report you would like to edit. Once you have adjusted the report, select Save. A window will appear with the options to Update or Save as New. Select Update.

To remove a saved report - select the report you would like to remove from the dropdown then select the trash
icon.
B - Measured Data - Determine the X & Y Axis
Here you select exactly what you are trying to measure (Y Axis) and by what key criteria (X Axis). Under the Show dropdown, choose from key fields such as Vendors, Requested Questionnaires, Shared Profiles, etc. Under the By dropdown, choose how to organize the data shown, options include by Business Unit, Assessment Progress, Vendor Status, etc.
C - Refine and Filter Data
This feature allows you to narrow down the data selected in B above. You can narrow your data set by specific fields such as Date Reports, Questionnaires, Criticality, etc.

Refine By – This section allows you to narrow down different reports that relate by date, such as NDA Accepted Date, Assessment Completed Date, Vendor Created Date, etc.
- Choose Date – In this field you will select a date report that you want to narrow in on. Once you have selected the report, you can refine the timeline by using the "From" and "To" calendar.
D - Data Visualizer
This feature automatically adjusts to the input from B & C above. It provides an immediate snapshot into the data as you outline the requirements.
E - Report Table
This is the complete output of your report, in table format. This feature is especially powerful as you add additional data columns. To do so, simply choose the Add/Select Columns button. A new window will appear, complete with all the data fields available. Finally, if you prefer Excel, select Export Results for an immediate download.
🔑 Key Definitions for Tracking Vendor Assessment Efficiency
The following columns have been added to provide enhanced assessment tracking and analytics for vendor assessments.
Aging Days: This measures the number of days the assessment has been active, starting from its initiation until it reaches a terminal state (completed, approved, approved with conditions, etc.). Once an assessment enters a terminal state, its aging resets to zero as it is no longer considered "aging."
Cycle Time: This measures the total time an assessment takes from when it is started until it is completed (reaching a terminal state).
Review Cycle Time: This specifically measures the time an analyst spends on the review phase of an assessment. It begins when an analyst initiates the review process (e.g., running a Vendor Summary/SOC 2 summary or starting a manual review of a questionnaire or document) and ends when the assessment reaches a terminal state.
👁️ New View Tracking Capabilities
The Reporting Suite now includes enhanced view tracking that provides detailed insights into how your content is accessed and engaged with:
Enhanced Document Tracking
- Document View Events - Raw event data for each document view, including date stamps and user details
- Document Views - Anonymous Users - Tracking of document access by non-authenticated visitors
New Profile View Tracking
- Profile View Events - Detailed event data for profile views including name and company details
- Profile Views - Anonymous Users - Analytics on profile access by anonymous visitors
New Questionnaire View Tracking
- Questionnaire View Events - Comprehensive tracking of questionnaire access and views
- Questionnaire Views - Anonymous Users - Data on questionnaire views by non-authenticated users
What's Changed: Previously, only document view aggregate counts were available based on a composite key of Document ID + User + Company domain, with no detailed timing information or profile/questionnaire view data.
Now, you have access to:
- Raw event data showing exactly when each view occurred
- Tracking across documents, profiles, and questionnaires
- Anonymous user activity insights
- Both aggregate counts and detailed event logs
- Enhanced data available through the Reporting UI, CSV exports, and Reporting API
📈 Reporting Examples
Assessment Progress By Date, Individual, etc.
- Show Vendors. You may also find these helpful, depending on what part of the assessment process you want to focus on most: Requested Questionnaires (Recipient, Requester, etc), Returned Questionnaires, etc.
- Adjust the data visualizer and refine your results by the following fields and more: Questionnaire Information (Progress, Requested, Date, Returned, Review Completed Date, Review Start Date, Reviewers, Shared Date), Assessment Information (Progress, Completed Date, Previous, Next), Follow Up Assignee, Vendor Contacts, Outstanding Questionnaire (Names), etc.
- Sort by various dates to see which results are oldest and newest from today.
- Sort by and view details of those involved, including: Requesters, Recipients, and Reviewers.
- Save your report.
- (Optional) For additional details and verification, click the vendor to view that details page.
Profile Reports
- Filter by these data point and more!
- NDA information, Source, Recipient, etc.
- Document Views
- This report will show you who has viewed your documents via profile shares!
- It will not show you how many times a document was viewed or if questionnaires where viewed. If your questionnaire have documents within them, this may be a workaround. We hope to add additional functionality soon! Reference #GEO-490.
- Shared Questionnaires
- This will show you questionnaire shares via profile shares or directly from a questionnaire assessment!
