When you send a questionnaire request to a vendor, you can now add multiple recipients who will collaborate on the same questionnaire instance. This feature streamlines the assessment process by allowing vendor teams to work together on a single questionnaire, rather than receiving separate questionnaires.
You can also add additional collaborators after the initial request has been sent, giving you flexibility to adjust who's involved as your assessment progresses.
📤 Sending a New Questionnaire Request
When sending a questionnaire request to multiple vendor contacts, all recipients work together on the same questionnaire as collaborators:
- Matching Email Domains: If all recipients have email addresses that match the vendor's domain (e.g., @vendorcompany.com), they will all collaborate on the same questionnaire instance.
- Non-Matching Domains: If a recipient's email domain does NOT match the vendor's domain, that contact will receive a separate questionnaire instance.
- Shared Progress: All collaborators on the same instance can see each other's responses and work together to complete the questionnaire.
Example:
- Sending to john@acmecorp.com, sarah@acmecorp.com, and mike@acmecorp.com → All three collaborate on one questionnaire
- Sending to john@acmecorp.com and consultant@differentdomain.com → john@acmecorp.com gets one instance, consultant@differentdomain.com gets a separate instance

After you've sent a questionnaire request, you can add additional collaborators to help the vendor complete the assessment:
- Open the vendor's assessment
- Locate the outstanding questionnaire request
- On the Action dropdown, select Assign Collaborator
- Select from existing vendor contacts or add a new contact
- Click Add to grant access

If all recipients have email addresses that match the vendor's domain, they will all collaborate on the same questionnaire instance. They can work together to complete responses, and each person will see the progress made by others.
What if the Assign Collaborator option is not available?
This typically means that the recipient is a Whistic customer and reserves the permission to manage their own questionnaire collaborators.
Can I remove a collaborator after adding them?
No, as an assessor, you cannot remove individual collaborators once they've been added. If you need to change who has access to the questionnaire, you must use the Reassign feature, which will remove ALL existing collaborators and grant access only to the new recipient(s) you select.
What happens when I reassign a questionnaire?
When you reassign a questionnaire, all current collaborators—regardless of how many there are—will lose access to the request. Only the new recipient(s) you select during reassignment will have access going forward. However, any responses that were already completed will be preserved.
Why would someone receive a separate questionnaire instance?
A recipient will receive a separate questionnaire instance if their email domain doesn't match the vendor's domain. For example, if you're assessing Acme Corp and you send the questionnaire to both john@acmecorp.com and consultant@external.com, the external consultant will receive a separate instance because their domain doesn't match.
Can vendors add their own collaborators?
Yes, vendors who receive questionnaire requests can add their own collaborators to help complete the assessment. They can also remove collaborators, but they must keep at least one person with access to the questionnaire at all times.
How do I know if my collaborators are working on the same questionnaire?
If all collaborators have email addresses with matching domains to the vendor, they will see the same questionnaire instance. You can verify this by checking if responses made by one collaborator are visible to the others.
