📋 How Whistic Pre-Populates Answers
Whistic automatically fills in your previous answers when both conditions are met:
- The questionnaire name is identical to one you've completed before
- The questionnaire version is the same as your previous submission
Example: If you previously completed "SIG Core 2024.01" and receive another request for "SIG Core 2024.01," Whistic will pre-populate all your previous answers.
✏️ Updating a Pre-Populated Questionnaire
When you receive a request to refresh or update a questionnaire you've already completed, follow these steps:
- Navigate to your Dashboard and locate the request under Outstanding Customer Requests
- Click Start to open the questionnaire
- Review the pre-populated answers - You'll see all your previous responses already filled in which will result in the following pop-up being shown:
- Click Make Changes on the bottom left of the above pop-up to begin editing
The Import button will not be visible once a questionnaire reaches 100% completion

- Attach any new supporting documents to relevant questions

Once a questionnaire reaches 100% completion, Whistic removes the Import button to prevent conflicts with the existing completed assessment. This ensures data integrity and prevents accidental overwrites. All updates must be made manually within the platform.

What determines if my answers will be pre-populated?
Both the questionnaire name and version must match exactly. If you previously completed "CAIQ v4.0" and receive a new request for "CAIQ v4.0," your answers will pre-populate. If the new request is for "CAIQ v4.1," you'll start with a blank questionnaire.
I downloaded my questionnaire responses to update them offline. Why can't I import them back?
You cannot export a completed assessment, make changes, and then import those changes back into the same assessment. The Import function is only available for questionnaires that are not yet 100% complete. For completed questionnaires that need updates, you must make changes manually within the platform.
How do I know which questionnaire version I'm being asked to complete?
The questionnaire version appears in the request details on your Dashboard and within the questionnaire itself. Look for version numbers in the questionnaire title (e.g., "SIG Core 2024.01" or "CAIQ v4.0").
What if I want to start fresh instead of using pre-populated answers?
You can manually clear and re-enter all answers if you prefer not to use the pre-populated responses. However, since pre-population is designed to save you time, we recommend reviewing the existing answers and only updating information that has changed.
Why is this different from importing my own questionnaire?
Pre-population happens automatically when you receive a duplicate request and uses your responses from Whistic's database. The Import feature allows you to bring in responses from an external Excel file, but it's only available for incomplete questionnaires. These are two different functions serving different purposes.
What happens if I need to make extensive changes to a pre-populated questionnaire?
Even for extensive updates, you'll need to work through the questionnaire manually in the platform. While this may seem time-consuming, it ensures accuracy and maintains the integrity of the customer's specific request. Consider breaking the work into sections if you have many updates to make.
